Employees
The Employees screen is your team directory. It lists everyone in your workspace, what they are paid and how, how to reach them, and who is currently active. The pay details you set here are load-bearing: they feed payroll and job profitability, so it is worth getting them right. This guide walks through reading and searching the list, filtering by status, the pay-type fields, adding and editing an employee, and deactivating or restoring someone.
The team at a glance
Section titled “The team at a glance”The list shows one row per employee with:
- Name — links through to the full employee profile.
- Pay Type — Hourly, Salary, or Weekly (covered below).
- Rate — the pay rate for that pay type (per hour, per week, or per year).
- Contact — the employee’s email and phone, when on file.
- Status — Active, Inactive, or Archived, shown as a labelled badge so it reads the same whether or not you can tell the colors apart.
Searching and filtering
Section titled “Searching and filtering”Use the search box to narrow the list by name, email, or phone — it filters as you type. Above the list is a row of status pills — Active and Archived — each showing a count. Choose a pill to switch between your active team and your archived team; the counts stay put so you always see the full picture. By default the list shows your active employees. Use Back to Active to return from the archived view. Archived employees stay preserved for history; archiving just keeps them out of the working list.
Pay types and what they affect
Section titled “Pay types and what they affect”Each employee has a Pay Type that decides how their pay is calculated:
- Hourly — paid by the hour using the Hourly Rate. Hourly employees can be marked Overtime Eligible, which pays time-and-a-half for hours over 40 in a week.
- Salary — paid a fixed Annual Salary.
- Weekly — paid a fixed Weekly Salary.
Two more settings affect how hours and pay are figured:
- Overtime Eligible — for hourly employees, turns on overtime pay over 40 hours.
- Lunch Deduction Exempt — skips the automatic lunch deduction that otherwise comes off worked hours for this employee.
These fields flow straight into payroll and into job profitability, so they should reflect how each person is actually paid.
Reading an employee
Section titled “Reading an employee”Open an employee from their name or the View action. The profile shows two sections:
- Pay & Eligibility — the pay type and every rate field (hourly rate, weekly salary, annual salary), plus whether they are overtime eligible and lunch-deduction exempt.
- Contact — the email and phone on file.
The employee’s status (Active, Inactive, or Archived) is shown as a labelled badge next to their name.
Adding and editing an employee
Section titled “Adding and editing an employee”Choose + Add Employee to create one, or Edit on an existing employee to change them. An employee record carries the Employee details (name and contact), the Pay & Eligibility settings (pay type and the matching rate, overtime eligibility, lunch-deduction exemption), and the Status (active). Choose Save Employee (or Save Changes) to record it.
Deactivating and restoring
Section titled “Deactivating and restoring”When someone leaves or is no longer on the team, Deactivate them from the row actions. QELM asks you to confirm first — deactivating keeps the record preserved but takes the person out of new work assignments and payroll. A deactivated or archived employee can be Restored at any time from the archived view. Nothing is deleted; deactivating just tidies the working list while keeping the history intact.
A note on what you see
Section titled “A note on what you see”The Employees screen shows only your own workspace’s team, and the pay figures reflect what your team has entered. If the list looks empty, it usually just means no one has been added yet; it fills in as you add employees. For how those pay settings feed payroll and job costing, see the Guides overview.
